Position Title: Sales Assistant

Position Responsibilities

1. The position is primarily a Sales assistant to the Manager.
2. Prepare and send checks, invoices, internal documentation letter/packages for domestic and international shipments via various courier services on a daily basis. (UPS, Fed-Ex, DHL, KWE, and NNR like international Forwarder)
3. Call freight forwarders to arrange pick up of documents/packages.
4. Prepare and handle inquiries, purchase orders, invoices, quotations, packing lists, formal business letters, envelopes, address labels, air waybills, faxes, itineraries, etc.
5. Follow up and expedite quotations and Purchase Orders.
6. Handle new supplier and customer onboarding in our sales tracking system.
7. Have knowledge and working use of Microsoft Outlook, Excel, Word, and Access to make a PO, Invoice and related business documents.
8. Provide customer service (Customer care, frequent catalogs, follow up/check status of orders or other information requested, obtain flight information, etc.)
9. Negotiate with supplier and customer for cost and lead time sometimes.
10. Assist sales staff with orders and projects.
11. Have basic math skills for preparing Sales order and Sales reports, receiving money and payment and related to sales business using our internal system.
12. Prepare Monthly reports for sales, purchases, and backlog orders on Access / Excel.
13. Business trip is required including Japan including some after business hours.
14. Comply with company rules and compliance.
15. Responsible for organizing and storing all necessary documents, files, brochures, etc. in accordance with company policy.
16. Responsible for helping out when another sales person is out of the office.
17. Maintaining a professional appearance as a salesperson (Dress shirts, etc.)
18. No special skill other than the above is required.

Working Hours

The hours for this position are either 8:00 A.M. – 4:30 P.M. or 8:30 A.M. – 5:00 P.M. with one hour for lunch.
